1. About This Policy
This Privacy Policy explains how TotalScope Technologies, LLC ("TotalScope Technologies," "we," or "us") collects, uses, and shares information when you visit totalscopetechnologies.com (the "Site"), contact us, submit a support ticket, or use our IT services. We are based in Clarksville, Tennessee and serve clients in Middle Tennessee.
We do not sell your personal information, and we do not use it to send marketing emails or newsletters.
This Policy is part of our Terms of Service. Effective date: October 9, 2026.
2. Information We Collect
Information you give us. When you contact us by phone or email, or book a consultation, you may give us your name, email address, phone number, address, and details about your IT needs.
Support tickets. Our ticket system, at tick-it.cloudsecure22.com, is a separate site that we run ourselves. It collects your name and email address, the details you enter to describe the issue, the names and email addresses of anyone you ask us to copy on a ticket, and any files you attach. Please do not include passwords or highly sensitive data in a ticket.
Billing information. We keep invoices and payment records. Card payments are processed by Zoho Billing, and we do not see or store your full card number.
Remote support and managed services. If you are a client, our tools can collect device and network information, such as computer names, installed software, system performance, security status, and logs. During support we may view files and data on your devices (see Section 6).
Information collected automatically. When you visit the Site, our hosting and security providers receive standard technical data, such as your IP address, browser type, and the page requested, so they can deliver the Site and protect it from abuse. Our analytics tool records visit statistics, such as pages viewed, referring site, browser and device type, and country. On a sample of visits it also records a session replay of what you do on the page (see Section 3).
3. Cookies, Analytics, and QR Codes
Cookies. The Site does not use advertising or tracking cookies. The only thing it stores in your browser is your answer to our cookie banner (a setting named "ts-cookie-consent"), so the banner does not appear again. It stays until you clear your browser data and is never sent to us or anyone else.
Analytics. We use Umami, an open-source analytics tool that we host ourselves, to count visits and see which pages are useful. Umami does not track you across other websites, and our copy of Umami does not send visitor data to outside parties.
Session recording. Umami also records some visits as session replays. A replay shows mouse movement, clicks, scrolling, and page changes, and re-creates how the page looked during your visit. Only a sample of visits is recorded. The Site has no forms or fields where you can type, so recordings do not capture anything you enter. We use recordings only to find confusing pages and fix problems with the Site. They are stored on our own server, are not sold or shared with anyone else, and are deleted after 30 days.
Analytics and session recording run whether you accept or dismiss the cookie banner, so the banner does not turn them off. To avoid them, you can block trackers or scripts in your browser, or contact us at [email protected].
If we add other analytics or advertising tools in the future, such as Google Analytics, we will update this Policy and our Cookie Policy first and, where those tools use cookies, ask for your consent through our cookie banner.
You can block or delete cookies and site data in your browser settings.
QR codes. Some of our printed materials use QR codes made with Hovercode that open our website. Scanning one may record that a scan happened, along with general information such as the approximate time, device type, and location.

4. How We Use Information
We use information only to run our business and serve you:
- Respond to inquiries, schedule consultations, and provide support.
- Deliver, monitor, secure, and troubleshoot the Services.
- Bill you, process payments, and keep financial records.
- Keep the Site working, measure its performance, and improve it.
- Protect against fraud, abuse, and security incidents.
- Meet legal obligations and enforce our Terms.
We do not use your information for marketing emails or newsletters, and we do not sell it.
5. Who We Share Information With
We share information only with the service providers we need to run the business, and only as needed for the purpose shown. We do not sell or rent your information.

These providers have their own privacy policies and handle information under their own terms.
We may also disclose information when the law requires it, such as in response to a subpoena or court order, to protect our rights or the safety of others, or as part of a sale or transfer of our business.
6. Client Systems and Confidential Data
When we support or manage your devices, we may be able to see files, emails, and other data stored on them. We access only what we reasonably need to diagnose and fix the issue or deliver the Services, and we use that data for no other purpose. We keep it confidential as described in our Terms of Service.
If we copy data from your systems for a task such as a backup or migration, we delete our working copies when the task ends unless you ask us to keep them or the law requires it.
Private Client services. For Private Client work, we act as your single point of contact and, where practicable, remove your personal identifying information before sharing details with outside vendors. We cannot promise anonymity where a vendor, license, permit, or law requires your identity.
7. Retention, Security, and Your Choices
Retention. We keep information only as long as needed for the purposes in this Policy. Business and billing records are kept as long as tax and accounting rules require. Support tickets and related files are kept while you are a client and for a reasonable period afterward, then deleted or anonymized. Analytics data is kept in our own Umami installation. Session recordings are deleted after 30 days.
Security. We use reasonable safeguards, such as encrypted connections, access controls, and keeping our own systems updated. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.
Your choices. You may ask us to tell you what personal information we hold about you, to correct it, or to delete it. We will honor such requests unless we need the information for a legal or business reason, such as an unpaid invoice or a tax record. To make a request, email [email protected]. We may need to confirm your identity first. You can manage cookies and site data through your browser settings.
8. Children, California Residents, Changes, and Contact
Children. The Site and our Services are not directed to anyone under 18, and we do not provide support to anyone under 18 without authorization from a verified parent or legal guardian. We do not knowingly collect personal information from anyone under 18 without that authorization. If you believe a minor has given us information without it, contact us and we will delete it.
California residents. We do not sell or share personal information as those terms are used in California law. California residents may ask what personal information we have collected and request its correction or deletion by contacting us below. We do not currently respond to browser "Do Not Track" signals.
Location. We operate in the United States and serve clients in Middle Tennessee. Information we collect is stored and processed in the United States.
Changes. We may update this Policy by posting a new version on the Site with a new effective date. Continued use of the Site or Services after an update means you accept it.
